Valent uses role-based access control to ensure the right people have the right access.

Organization Roles

RoleCapabilities
AdminFull system access, manage users, configure settings
Proposal ManagerCreate, edit, and assign proposals, manage Decision Rooms
ContributorDraft and review content, participate in workflows
ViewerRead-only access to proposals and analytics

Role Details

Admin

Full control over the Valent organization:

  • Manage user accounts
  • Configure integrations
  • Access all Decision Rooms
  • View all analytics
  • Modify organization settings

Proposal Manager

Lead proposal efforts:

  • Create and manage Decision Rooms
  • Assign work to contributors
  • Approve and finalize content
  • Export proposals
  • View team analytics

Contributor

Participate in proposal creation:

  • Write and edit assigned sections
  • Review and comment on content
  • Upload documents
  • View assigned Decision Rooms

Viewer

Observe without editing:

  • Read proposals and documents
  • View analytics (where permitted)
  • Cannot modify content

Decision Room Permissions

Within each Decision Room, additional permission levels apply:

Managing Users

Adding Users

  1. Navigate to SettingsUsers
  2. Click “Add User”
  3. Enter email address
  4. Assign organization role
  5. Send invitation

Modifying Roles

  1. Go to SettingsUsers
  2. Find the user
  3. Click to edit
  4. Change role assignment
  5. Save changes

Removing Users

  1. Navigate to SettingsUsers
  2. Find the user
  3. Click “Remove”
  4. Confirm removal

Best Practices

Principle of Least Privilege

Assign the minimum role necessary:

  • Start with Viewer or Contributor
  • Elevate as needed
  • Audit periodically

Admin Redundancy

Have at least two admins:

  • Ensures continuity
  • Provides backup for account issues

Regular Audits

Review access quarterly:

  • Remove departed employees
  • Adjust roles as responsibilities change
  • Verify admin accounts

Tips

  • Use Decision Room permissions for project-specific access
  • Document role assignments and justifications
  • Train new users on their permissions and responsibilities
