Decision Rooms

Decision Rooms are collaborative workspaces in Valent where your team comes together to respond to RFPs. Each room contains everything needed to analyze, qualify, and respond to a specific opportunity.

What is a Decision Room?

A Decision Room is a dedicated space for a single RFP response. It includes:

  • Resources — Uploaded documents and source materials
  • Collections — Organized groups of extracted items (requirements, deliverables, etc.)
  • Proposal — The response document you’re building
  • Team Collaboration — Comments, assignments, and activity

Creating a Decision Room

  1. Click “New Decision Room” from the home screen or dashboard
  2. Select RFP Response as the room type
  3. Give it a clear, descriptive name (e.g., “Acme Corp - IT Services RFP”)
  4. Invite team members who will collaborate

Decision Room Structure

Home Tab

The landing page for your room:

  • Overview of progress
  • Recent activity
  • Quick actions

Resources Panel

Where your source documents live:

  • Upload RFPs, addenda, and reference materials
  • Track analysis status
  • Access original files

Collections

Organized views of extracted items:

  • Requirements — Mandatory and desired items to address
  • Deliverables — What you must provide
  • Questions — Items requiring clarification
  • Deadlines — Key dates and milestones

Proposal Tab

Your response document:

  • Auto-generated outline from RFP structure
  • Section-by-section editing
  • Compliance tracking

Team Collaboration

Inviting Members

  1. Open the Decision Room
  2. Click Settings or the team icon
  3. Add members by email
  4. Assign appropriate permissions

Roles in a Decision Room

Activity Feed

Track everything happening in the room:

  • Document uploads
  • Status changes
  • Comments and mentions
  • Approvals

Best Practices

  • Name rooms clearly — Include client name and RFP identifier
  • Upload complete files — Include all addenda and amendments
  • Assign ownership early — Know who’s responsible for each section
  • Keep it organized — Use tags and filters to manage complexity
